Operational Support Specialist – Fleet

£26,000 plus great benefits (Work Level 6B)

Manchester city centre, in this role you’ll work in a hybrid way – spending at least two days per week working from the office (find out more about our hybrid working policy at colleagues.coop.co.uk/hybrid-working-policy). 

12-month secondment / fixed term contract 

We’re looking for an Operational Support Specialist to join the Fleet team within our wider Co-op Business Services (CBS) organisation. CBS is made up of a number of diverse teams dedicated to delivering high-quality, reliable and cost-effective business services across our Co-op. You’ll play a key role in helping CBS to support and realise our group vision of ‘co-operating to build more value for member-owners every day’.

With more than 2,500 vehicles, from home delivery vans to funeralcare fleet and company cars, our Fleet team plays a key role in making sure all our vehicles are compliant (i.e. MOT, serviced, insured, and taxed) – so they’re available to our colleagues whenever they need them. As an Operational Support Specialist at Co-op, you’ll build positive relationships with our partners and suppliers; spotting opportunities to improve our processes and ways of working. We’ll also look to you to work closely with our team of advisors, using your knowledge and experience to coach and mentor them. 

What you’ll do

  • Validate invoices to ensure cost centres are journalled accurately and in time. 
  • Use data to spot improvement opportunities within our invoice validation processes, challenging suppliers accordingly
  • Understand the impact of policy and legal changes; making sure our fleet is always compliant 
  • Coach and mentor colleagues; supporting them in their development to ensure data is updated correctly upstream
  • Build and maintain positive relationships with third-party suppliers, working closely with them to resolve issues and improve our service
  • Lead and manage small projects including improving processes and ways of working, and supporting the team to make sure they can provide an excellent service 

This role would suit people who have

  • A background in managing compliance
  • Experience coaching a team and supporting them in their development
  • Good analytical and Microsoft Excel skills (including the use of VLOOKUP’s and Pivot tables), with the ability to provide actionable insights from data
  • Good communication and relationship-building skills, with the ability to influence and challenge people inclusively
  • A keen eye for detail in an administrative setting
